REQUEST FOR BOOTH ASSIGNMENT

The American Epilepsy Society welcomes its members and the broader epilepsy community to the AES Annual Meeting. We are pleased to offer 10' x 10' exhibit booths to qualifying nonprofits in the Epilepsy Resource Area at a fraction of the cost of a commercial booth, and qualifying nonprofits enjoy discounted registration rates.

AES provides an Epilepsy Resource Area for nonprofit organizations involved in:

Advocacy
Patient outreach
Non-clinical patient services
Research funding

Only organizations working in these areas may qualify for reduced-rate booths.

If you are interested in being in the Epilepsy Resource Area, please complete and submit this request. AES will notify your primary contact within five working days of the outcome of your request. Booth locations will be assigned by AES in the order that requests are received. The cost of each booth is $500 for qualifying organizations.

Exhibitors in the Epilepsy Resource Area exhibitors are required to observe the same rules and regulations that all other exhibitors follow. For more info on nonprofit participation at AES 2024 see these guidelines.

General Guidelines for Nonprofits at AES 2024

Guidelines for nonprofits participating in AES 2024 can be found HERE. All participating organizations must adhere to all AES rules and regulations. Epilepsy Resource Area Exhibitors should review the AES Exhibitor Website.

Epilepsy Resource Area Booth Assignment

AES will notify the primary contact listed above of the outcome of this request within 5 business days. Approved requestors will receive an invoice, a confirmed booth number, and additional exhibiting details when they are approved.

Epilepsy Resouce Area Booth Cancellation Policy

If AES receives a written request for cancellation :

On or before May 23, 2024, the exhibitor will be liable for 25% of the entire booth fee of the space originally contracted
Between May 24, 2024 and August 22, 2024, the exhibitor will be liable for 50% of the entire booth fee of the space originally contracted
After August 22, 2024, exhibitors are liable for 100% of the entire booth fee of the space originally contracted

Cancellations must be received in writing by Angel Law. If your booth is unpaid at the time of cancellation, you will still owe AES the amount reflected in your signed request, less the refundable amount per this policy.
